Administrative Assistant

Part Time: 25 hours weekly
Salary: $12-$14 hourly

Job Summary

The job of Administrative Assistant is to provide support for our SAYFC Volunteer/Mentor Department.  This position requires an individual who possesses strengths in organization, administration and attention to detail. The candidate is gifted in multi-tasking and navigating multicultural and socially diverse environments.  Candidate should be a self-motivator and initiator. Having a teachable will as well as not being afraid to be a visionary within one’s own department.


  • Proficient in Excel and creating and maintaining spreadsheets
  • Proficient in Data Entry and able to self-audit and self-assess for data accuracy  
  • Experience with Wufoo, Mail Chimp &, Impact a plus but not required if teachable
  • Must be able to multi-task, self-manage and cross train for different roles
  • Flexibility in schedule to work evenings and weekends.
  • Must possess strong organizational and clerical skills
  • Maintain personal accountability and relationships with staff members
  • Exhibits strong Christian character that demonstrates a close relationship with God through personal devotional, worship and prayer life
  • Maintain daily disciplines of Bible study, prayer and preparation
  • Must have a passion for the mission of Youth for Christ and recognize Administration as a vital role of advancing the mission

Physical Requirements / Working Conditions:

Occasional lifting/carrying up to 10 - 50 pounds; visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to operate a computer keyboard and basic office equipment. Subject to sitting, standing, reaching, walking, twisting and kneeling to perform the essential functions, occasional events/activities outdoors in the heat, occasional events/activities requiring prolonged standing and overnights.

Primary Responsibilities


  • Create and Maintain Files for all Volunteers/Mentors
  • Create and Maintain Files for Churches
  • Follow-up Soft touches with mentors, churches and schools
    • Thank-you letters, Newsletters & Birthday Cards
  • Typing memos, emails & procedures as directed
  • Assist in scheduling
  • Assist printing and prepping for trainings
  • Answering Phones/ Receiving deliveries
  • Create and Maintain Spreadsheets for partnerships, grants and data tracking
  • Mailings

Communication Expectations

  • Must be able to clearly articulate information to volunteers, staff, board and community partners verbally and in writing as needed.
  • Must be able to have proper phone etiquette in answering phones and calling references.
  • Must be able to share vision and mission of SAYFC when asked.
  • Must be able to speak in front of a small audience (5-20 people) for one hour trainings. (Safety Training & Informational Sessions)
  • Occassionally write emails, Newsletters, donation letters, thank-you letters etc.
